Child Care Connections is a member of the Montana Child Care Resource and Referral Network. We are a 501(c)(3) nonprofit, that serves as child care resource experts for Gallatin, Park, Meagher, Lewis & Clark, Jefferson, and Broadwater counties. It is our mission to advocate for the well-being and quality care of children by supporting early childhood professionals, families and the communities we serve.
Child Care Connections is seeking a full-time Professional Development Specialist/ CACFP Monitor at the Helena satellite office location. Child Care Connections advocates for the well-being and quality care of all children. The Professional Development Specialist / CACFP Monitor responsibilities include hosting, teaching, preparing professional development opportunities for child care providers, conduct monitoring visits and assist in the CACFP program.
Professional Development Specialist/CACFP Monitor Job Description is as follows:
Reports to: Provider Services Coordinator, Brandi Thomas
Appointment: Full-Time

General Work Characteristics:
- Work cooperatively with the Executive Director, Assistant Director, Provider Services Coordinator and other agency staff for a smooth and efficient agency operation
- Works cooperatively with agency staff to plan and implement joint activities
- Contribute to the agency newsletter and website
- Complies with all CCC Employee and Fiscal Policies
- Ensures outstanding customer service and effective conflict resolution
- Completes assigned work in a timely manner
- Other duties as assigned by Provider Services Coordinator and/or Executive Director
- Attend and contribute to the monthly staff meetings and reports, board reports and agency newsletters
- Attend and contribute to assigned committee meetings
- Supports agency PR, fundraising and grant writing
- Utilizes Google Calendar system; submits completed timesheets in a timely manner and submit leave requests well in advance of anticipated leave
- Behaves as a courteous and responsible representative of CCC in interacting with other staff and community members
- Further promotes CCC and its mission to community members, potential donors, clients, and policymakers as directed
General Provider Services Support:
- Attend Provider Services meetings and others as appropriate and identified by Executive Director and Provider Services Coordinator
- Provide support for all provider services operations when needed
Professional Development Specialist:
- Facilitate pre-orientation as requested by prospective providers
- Facilitate Program Management Essentials course every 60 days (Lewis and Clark, Jefferson, Broadwater)
- Facilitate Early Childhood Essentials course every 30 days (Lewis and Clark, Jefferson, Broadwater).
- Facilitate CPR/1st Aid course every 30 days (Lewis and Clark, Jefferson, Broadwater)
- Facilitate additional required trainings such as Heath and Safety Review, Business courses, or others at the request of ECSB.
- Facilitation and/or develop trainings for child care providers (Lewis and Clark, Jefferson, Broadwater)
- Conduct QAD Training/Technical Assistance in response to child care licensing referrals.
- Provide technical assistance to providers in response to requests.
CACFP Monitor:
- Work cooperatively with direct supervisor (CACFP Program Coordinator)
- Conduct monitoring visits (Broadwater, Lewis and Clark and Jefferson counties) as required by the State Child and Adult Care Food Program (CACFP). Ensure that all monitoring functions are completed, and hours are tracked and documented.
- Write a ‘Corrective Action Plan’ when a deficiency is found and deliver to provider via USPS. A follow-up visit will be conducted within 30 days to providers that received a ‘Corrective Action Plan’ to verify that deficiency was corrected.
- Conduct three ‘Five Day Meal Reconciliations’ per each provider per each calendar year. A meal deduction letter will be written and mailed to the provider if there is cause to deduct meals. This information will be provided to the CACFP Coordinator.
- Assist the CACFP Coordinator with parent surveys for the CACFP annually.
- Provide assistance to the CACFP Coordinator with filing, claim checking, completing reports, daily operations, and additional projects.
- Assist the CACFP Coordinator with the CACFP provider trainings (annual and nutrition).
- Assist the CACFP coordinator with the Annual CACFP Sponsorship Plan, as needed.
- Assist the CACFP Coordinator with the Annual Tiering Process (checking Tiering status and writing Tiering letters)
- Assist the CACFP Coordinator with child re-enrollments.
- Provide on-site provider training and technical assistance.
- Recruit and provide on-site training for all new participating providers.
Public Advocacy, Public Relations, and Coordination of Child Care Issues:
- Provide input and feedback on state programs and policies
- Assist in preparing public testimony and program feedback to Bureau staff
- Assist in reaching out to partners and clients to provide public testimony and written feedback to ECSB and legislators/congressional representatives
- Provide internal support to CCC development by recruiting client speakers and testimonials, directing fundraising and outreach opportunities to Development Coordinator and engaged in one or more fundraising/communication workgroup(s)
Work directly with Provider Services Coordinator (supervisor) on collaboration and support for STARS.
Work cooperatively with the Executive Director, Assistant Director, Provider Services Coordinator and other agency staff for a smooth and efficient agency operation.
Qualifications:
Suggested Knowledge, Skills and Abilities (Behaviors):
- Ability to plan, organize, gather information and conduct monitoring visits.
- Ability to provide effective and professional services.
- Excellent ability to communicate both orally and in writing.
- Ability to operate a personal computer and general office equipment as necessary to complete essential functions, including using spreadsheets, word processing, database, email, and other computer programs.
Minimum Qualifications (Education and Experience):
- Must meet qualifications on the Montana Early Care and Education Career Path (Montana’s Practitioner Registry) and at least a Level Five (4) or above.
- Preferred Bachelor’s degree in Child Development, Early Childhood Education, or a related degree.
- Relevant work experience in the following areas: child development, program development, public relations, child care training, adult education, experience in an early childhood setting, child care licensing, and special education.

PHYSICAL AND ENVIRONMENTAL DEMANDS QUALIFICATIONS:
This job is primarily office-based at Child Care Connections’ Helena office; however, weekly travel throughout the six-county service area (Gallatin, Park, Meagher, Lewis & Clark, Broadwater, and Jefferson counties) is an average requirement. This position requires flexibility in scheduling and some work must be performed outside of traditional office hours. Occasional, away from home, overnight stay is required.
SPECIAL REQUIREMENTS:
- Must have own vehicle, insurance, and a valid driver’s license.
- Must successfully pass an FBI fingerprint and background check.
